If you are receiving counselling or thinking about using our service, you have a right to know what happens to your personal information.

This Privacy Notice explains, in clear and simple language:

  • what information we collect; 
  • why we need it; 
  • how we look after it; 
  • who we might share it with; 
  • your privacy rights; and 
  • when we may need to tell someone else to help keep you or another person safe. 

We know privacy is important. We will always treat your information with respect and care.


Who We Are

Climb Youth Therapy Limited provides counselling and wellbeing support for young people aged 15 to 25 years.

Our aim is to provide a safe place where you can talk openly, feel listened to and receive professional support.


What Information Do We Collect?

When you become a client, we may ask for information such as:

  • your name; 
  • your date of birth; 
  • your address; 
  • your email address; 
  • your telephone number; 
  • the name of someone we can contact in an emergency; 
  • details about why you are seeking support; 
  • information that helps us provide counselling safely. 

During counselling, your practitioner will also make professional notes about your sessions.

These notes help us provide safe, consistent and effective care.


Why Do We Need This Information?

We only collect information that helps us:

  • provide counselling safely; 
  • arrange appointments; 
  • contact you if we need to; 
  • understand your support needs; 
  • keep accurate professional records; 
  • keep you and others safe where necessary. 

We only ask for information that we genuinely need.


How Is My Information Kept Safe?

Your information is stored securely using Konfidens, our secure practice management system.

Konfidens is used to manage:

  • appointments; 
  • online counselling sessions; 
  • secure messages; 
  • therapy notes; 
  • invoices and payments. 

Only people who need access to your information in order to provide our services can see it.

We use secure systems and take steps to protect your information from being lost, misused or accessed by people who should not see it.


Will Everything I Say Stay Private?

Most of the time, yes.

Everything you tell your counsellor is treated as confidential.

However, there are some situations where we may need to share information with other people to help keep someone safe.

For example, if we believe:

  • you are at serious risk of harm; 
  • another person is at serious risk of harm; 
  • a child or young person is being harmed or is at risk of harm; 
  • an adult at risk is experiencing abuse or neglect; or 
  • we are required by law to share information. 

If it is safe and appropriate to do so, we will usually explain this to you before sharing information.

Our first priority will always be your safety and the safety of others.


Who Might We Share Information With?

We will only share information when there is a good reason to do so.

Depending on the circumstances, this may include:

  • your GP; 
  • another healthcare professional involved in your care; 
  • Children’s Social Care; 
  • Adult Social Care; 
  • emergency services; 
  • the Police; 
  • other organisations where the law allows or requires us to do so. 

Whenever possible, we only share the information that is necessary.


Can My Parent or Carer See My Information?

This depends on your age and your individual circumstances.

If you are 18 or over, your information belongs to you and will normally only be shared with your permission unless there is a legal reason to do otherwise.

If you are 15 to 17 years old, we will always try to respect your privacy while also considering our safeguarding responsibilities and the role of your parent or person with parental responsibility.

Every situation is different, and we will always try to explain how information will be handled.


How Long Do You Keep My Information?

We keep records only for as long as we need them.

This helps us:

  • meet legal requirements; 
  • meet professional standards; 
  • respond to any future questions or concerns; 
  • protect your safety. 

When information is no longer needed, it is securely destroyed.


Your Rights

You have important rights about your information.

These include the right to:

  • know what information we hold about you; 
  • ask us to correct information that is wrong; 
  • ask questions about how your information is used; 
  • make a complaint if you think we have not looked after your information properly. 

Some rights have legal limits because counselling records also have to meet professional and safeguarding requirements.

We will always try to explain things clearly.

We are happy to explain:

  • how we keep it safe; 
  • who can see it; and 
  • why certain information may sometimes need to be shared. 

If You Are Not Happy

If you think we have not handled your information properly, please tell us.

We will always try to resolve your concerns fairly and promptly.

If you remain unhappy, you have the right to contact the Information Commissioner’s Office (ICO).
